Faculty Course Reserve Policy

Electronic Reserves

How the Electronic Reserves System works:

The Library of Rush University uses the E-Res software package from Docutek, Inc. to place journal article and book chapter course reserves online.  The software is web-based and can be accessed from the Library home page.  The software also allows links to websites and e-books that instructors require for their students. The Electronic Reserve System can be accessed from any web browser from the Library home page or by going directly to:  http://libres.dmz.rpslmc.edu

Each course is given a unique password for students.  This password must be entered by the student in order for them to retrieve material.  By entering the password into the system, the student is agreeing to copyright provisions.

Faculty Guidelines for placing articles in the ERes System:

  • If the Library has in its collection an article to be placed on reserve, the Library will either scan or download the original article.  If the Library does not own the article, it is expected that the instructor provide as clean a photocopy as possible for a clean scan into the PDF format. The Library is not responsible for the quality of material scanned from photocopies provided by the instructor.  If the Library does not own the article and no copy is provided by the instructor there will be a delay as the Library obtains the material from outside resources.

  • A list of reserve material for every course must be submitted each quarter.  New or re-activated courses are processed after a list of materials with a Request Form is received by the Electronic Document Technician.  Reserve Request Forms are located in the Circulation Desk turntable, are available from the  Library homepage at http://www.lib.rush.edu/library/reserveform.html , or can be e-mailed to you. Contact Martha_Rivera@rush.edu  or call her at (312) 942-2107.  Incomplete forms may result in a delay in processing.

  • To re-use E-Reserve material that has been active within the last year please contact the Electronic Document Technician. Changes/additions/deletions to a previously used course will require a new Request Form.

  • E-Reserve course materials are processed in order of receipt. Reserve requests MUST be submitted THREE WEEKS before the Quarter begins. This includes reinstatement of previously active courses. It is the responsibility of the instructor to make sure items are brought to the Library on time.

  • All material will be made visible the Friday before the Quarter begins unless special arrangements are made with the Electronic Document Technician.

  • Instructors may submit portions of their course reserve requests on a periodic basis throughout the quarter.  However, each submission will be treated as a new request and a THREE WEEK processing turnaround will apply.

  • The documents stored in the Electronic Reserves database are protected under Copyright Laws of the United States (Title 17 U.S. Code) governing the making of photocopies of copyrighted material.  It is the instructor’s responsibility to procure permission to use material if it is so needed.  For more information about copyright and course reserves, please see the  FAQs about Use of Copyrighted Materials for Rush University Courses http://www.lib.rush.edu/library/copyrightfaq.html.

  • Electronic Reserve material not in use for the current quarter will be archived and not made available via the ERes System.

Print/Book Reserves Collection

Faculty Guidelines for placing books in the Print/Book Reserves Collection:
  • Books which are REQUIRED reading will be placed in the Print/Book Reserves Collection.

  • A list of reserve material for every course must be submitted each Quarter. Courses are processed after a list of materials with a Request Form is received by the Electronic Document Technician.

  • If a book to be placed on reserve is owned by the Library and is not on loan it will take ONE WEEK to prepare it for student access.  If the Library does not own the book, or if it is currently on loan, it may take up to ONE MONTH to acquire it and prepare it for student access.

  • Books placed on Reserve will remain there for the duration of the quarter.  If the book is not requested to be placed on Reserve for the following Quarter, it will be returned to the Circulating Book Collection.  Books may not be placed on Reserve indefinitely.

  • Personal copies of books are welcome. The Library can not guarantee these items against theft or damage and they will be subject to standard library processing requirements.  The disclaimer form provided at http://www.lib.rush.edu/library/pdf/disclaimer.pdf must be completed.

  • Any personal copies left with the Library must be picked up within 2 weeks after the end of the quarter.
